Job scheduling

Job scheduling software that keeps up with the field.

Who goes where, at what time, with which equipment. We build an online schedule shared between the office and the teams, which updates when the day changes.

The problem

Monday’s schedule doesn’t survive until Wednesday

In a field service business, the schedule changes constantly. An emergency comes in, a client reschedules, a part is missing, a technician is off sick. The office whiteboard or spreadsheet is out of date as soon as the team is on the road, and the calls multiply to find out who is where.

The information the technician needs is scattered: the address in a text message, the door code in an email, the installation history in the head of the colleague who went last time. The paper job sheet comes back crumpled, sometimes at the end of the week, and invoicing has to wait.

Our answer

A shared schedule, linked to the client record

The office places jobs in an online schedule, by technician or by team. Each technician sees their day on their phone, with the address, the contact, the site history and what to bring.

On site, they fill in the job sheet in the tool: work done, time spent, photos, client signature. The office receives it straight away and can prepare the invoice. Messages to clients, such as an appointment confirmation, are prepared by the tool according to the rules you set.

  • Day, week or team view

Everyone picks the view that helps them, without changing anyone else’s.

  • Handling the unexpected

When an emergency slips into the day, the affected appointments are flagged for rescheduling.

  • Recurring jobs

Annual services and maintenance contracts are scheduled in advance.

Frequently asked questions

My technicians are not comfortable with apps. Is that a problem?

That is exactly where we start. We keep only the bare essentials on the phone: the day, the address, the job sheet to fill in. The full screens stay in the office.

Do we need to install an app?

No, the schedule opens in a browser. It can be added to the phone’s home screen, like an app.

What happens when there is no signal on site?

That needs planning from the outset. We discuss it during the call, and the chosen solution is written into the proposal.

Can the schedule notify my clients?

It can prepare an appointment confirmation or reminder. You decide with us which messages go out automatically and which are checked first.

Is it suitable for a small team?

Yes. Custom scheduling software makes sense as soon as several people work at client sites and the office spends too much time on the phone coordinating.
