The problem
Copying PDFs, line by line.
Supplier invoices arrive by email, as attachments, sometimes scanned. Each one has to be opened, the number, date, amount and VAT copied, then filed. Delivery notes are somewhere else, purchase orders somewhere else again.
Copying is where errors slip through: a quantity invoiced that does not match the delivery, a price different from the order, an invoice received twice. Nobody has time to compare everything.

The figures are extracted, then cross-checked.
Aristide picks up documents where they arrive: inbox, shared folder, scanner. It reads each document, extracts the useful data and enters it in your spreadsheet, invoicing software or accounting tool.
It does not stop at reading. It matches the invoice against the corresponding order and delivery note, and flags anything that does not add up. A blurry or incomplete document is set aside rather than guessed. All you have left to do is review the discrepancies and approve the rest.

If the processing has to fit into a custom in-house business tool, such as purchase tracking specific to your company, it is priced on quote, from €2,500 excl. VAT. The price is in writing before we start.

Frequently asked questions
Can scanned documents be read?
A clean scan, yes. A blurry, skewed or handwritten document may cause problems: it is then flagged to you instead of being entered at random.
Is it compatible with e-invoicing?
Aristide processes PDF invoices and prepares the data for your invoicing software. Sending and receiving electronic invoices goes through your software and the approved platform of your choice. Our guide to e-invoicing covers the subject.
Can Aristide pay the invoices?
No. It prepares and checks. Payment remains a human decision, made in your usual tools.
Where are my documents stored?
In your tools, where they already are. For processing, we choose the hosting with you, including in Europe, and only the necessary data is transmitted, under the GDPR and the Swiss FADP (nLPD) in Switzerland.
All my suppliers use a different format. Is that a problem?
No. Aristide reads the content of the document, not a fixed template. A new format may need an adjustment: it is flagged to you from the first document.
